Employees request leave from the KalHR app. A type of leave is only available to them once it has a policy, which sets how many days they get, who can take it and who approves it.
Before you start
Set up the leave approval workflow first, so requests reach the right person from day one.
Create a leave policy
Create one for each type of leave your staff can take: for example annual, sick, maternity and study leave.
Leave policies
- Open Leave → Policies and select Create Policy.
- Template: start from a common leave type, or from scratch.
- Basics: enter the Policy Name, Maximum Days per Year and a description. Turn on Carry Forward Unused Days if unused days roll over, then set how many carry over and when they expire.
- Eligibility: choose who can request it: the Entire Organization, or specific companies, departments, units or employees. Add any Supporting Documents employees must attach, such as a medical certificate.
- Review: check the summary, including which approval workflow applies, then select Create Policy.
To change a policy, select the edit icon on its row. Changes apply to new requests.

Leave requests
- Open Leave → Requests. Filter by leave type, status or dates.
- Select View to read a request.
- Select Approve, or Decline with a comment so the employee knows why.
If the request uses an approval workflow, each approver also sees it in More → Approvals → Requests, in turn.
Request statuses

| Submitted / Pending | Waiting for a decision |
| Approved | Granted. It counts against the employee's balance |
| Rejected | Declined |

Leave → Settings holds the leave Approvals workflow.
