KalHR has two apps. This help centre covers the web app that HR managers, payroll officers and company administrators use. Employees use the KalHR mobile app or employee portal for their own tasks, such as requesting leave or downloading payslips.
Sign in
- Go to app.kalhr.com, or the link your organisation gave you.
- Enter your Email Address and Password, then select Sign In.
- If your account uses two-factor authentication, KalHR emails you a 6-digit code. Enter it and select Submit. No code? Check your spam folder, wait for the countdown, then select Resend Code.
Forgotten your password? Select Forgot your password? on the sign-in page and follow the email.

The sidebar
Dashboard, People, Recruitment, Attendance, Leave and Payroll are always shown. Everything else is under More: Loans, Disciplinary, Tasks, Performance, Forms, Services, Asset Management, Approvals, Access Management and Settings. Select Show less to fold it away again. Select the arrow at the top to collapse the sidebar to icons.
The dashboard
Headcount, today's attendance, pending leave, birthdays and the last payroll at a glance, with shortcuts to Add Employee, Approve Leaves, Run Payroll, View Attendance and Departments.
Search
The search bar at the top finds employees, leave, payroll and assets from any page. Press ⌘K on a Mac or Ctrl+K on Windows to jump to it.
Ask Kal
The Ask Kal button at the top right answers questions about your HR data in plain English. See Ask Kal.
Switch between companies
If your organisation has more than one company, the bottom of the sidebar shows the company you are working in, labelled Switch workspace. Select it and choose another company from Workspaces.
Check the company before you change anything
New records are created in the company shown at the bottom of the sidebar. If you are seeing the wrong employees or figures, you are probably in the wrong company.
Your profile and signing out
Select your name at the bottom of the sidebar to open your profile. Select the Log out icon next to it to sign out. See Your account.
What you see depends on your role
KalHR shows each person only the menus and buttons their role allows. If something in these guides is missing for you, your role doesn't include it. Ask a Group Admin to check your access in Users & roles.
